Privacy Notice

Clear, practical and human. Here is how we handle your data and how you stay in control.

Last updated: 16 August 2025

1. Who is responsible

meetinminutes.com is the data controller for the service in the United Kingdom. If you have questions about this notice or your data, please reach us via our Contact page.

2. What we collect

  • Account - email, password hash, sign in history, settings.
  • Profile - name, age, city and country, bio, interests, photos.
  • Usage - pages viewed, actions like likes or messages, approximate location if you allow it.
  • Device - browser, operating system, IP address, cookies.
  • Payments - limited billing details from our payment partner, for example payer email and a transaction reference.
  • Reports and moderation - content you report, and notes created for safety and compliance.

3. How we use your data and legal bases

We process your data under UK GDPR on these bases:

  • Contract - to provide the service, for example creating your profile and delivering messages.
  • Legitimate interests - to keep the platform safe, prevent abuse, improve features and measure performance. We balance this against your rights.
  • Consent - for things like optional marketing or certain cookies. You can withdraw consent at any time.
  • Legal obligation - to comply with the law, for example fraud prevention and law enforcement requests.

4. Cookies and analytics

We use essential cookies so the site works, and optional analytics to understand what is popular and improve the experience. You can control non essential cookies in the banner or preferences.

Tip: clearing cookies will sign you out, which is a bit of a mood killer, so perhaps tweak preferences instead.

5. Who we share data with

  • Service providers - hosting, email and analytics providers who act under our instructions.
  • Payment processors - to complete premium purchases and handle fraud checks.
  • Law enforcement - if required by law or where necessary to protect users and the public.
  • We do not sell your personal data. That would be awkward and also not very British.

6. International transfers

If we transfer personal data outside the UK or EEA, we use appropriate safeguards such as standard contractual clauses, and we check that providers keep data safe.

7. How long we keep data

  • Account and profile data - kept while your account is active and for a short period after closure to resolve queries or fraud. Then deleted or anonymised.
  • Messages - retained for a limited period after account closure for safety and abuse prevention.
  • Payments - kept for the period required by tax and financial regulation.
  • Reports and moderation - kept as long as needed for safety, then archived or deleted.

8. Your rights

Under UK GDPR you can:

  • Access a copy of your data.
  • Correct inaccurate data.
  • Delete your account and data in certain cases.
  • Restrict or object to processing in certain cases, including marketing.
  • Get your data in a portable format where applicable.
  • Complain to the Information Commissioner’s Office if you are unhappy with how we handle your data.

To exercise these rights please use the Contact page and we will respond as soon as possible.

9. Children

The service is for adults 18 plus only. We remove accounts that appear to belong to minors and we may keep limited information to prevent misuse.

10. Automated decision making

We use ranking and discovery features to surface relevant profiles. We do not make decisions with legal or similarly significant effects about you without human review.

11. Changes to this notice

We may update this notice when we launch new features or to reflect legal guidance. If changes are significant we will flag them in product or by email.
